This Privacy Policy outlines the XIMI-Jaipur’s commitment to protecting the privacy and security of applicants’ personal data collected during the postgraduate admissions process. This policy includes information on who is using the data, the types of data we hold, and how we use the data.
The XIMI-Jaipur is the “controller” for the information that we obtain from you or others as a result of your application for study in various programs. Access to your data will be provided to the Institute’s staff, including those based in the Institute, who need to view it as part of their work in carrying out the purposes. We may also share it with the statutory bodies of the Institute.
The information we hold about you may include the following:
Personal details such as name, title, address, telephone number, email address, date of birth, sex and gender identity, ID photograph (included within received documents), educational details, information about household income, and details of patents/guardians;
Education (including the school(s), form college(s) and other colleges or universities you have attended and places where you have worked, the courses you have completed, dates of study and examination results);
Other personal background information collected during the admissions process, e.g. whether you have been in care, your socio-economic classification and details of your parents’ occupation and education;
Information about your use of our IT systems;
Visa, passport and immigration information;
Funding and financial support information;
Information about your use of our information and communications systems, including your communication preferences and website interaction;
Information about your socio-economic background.
We may also process the following “special categories” of more sensitive personal data:

The Institute obtains your data mainly from your application, for instance, via online portals. We can also obtain extra details from you as well as outside sources such as referees, prior schools, colleges, universities, and government departments.
The data is utilized to process and evaluate your application for study and any corresponding matters, such as determining your eligibility for certain courses. We need to process your data to meet our legitimate interests or the interests of others, for example: requesting more information on your application and notifying you about variations in course information.
In order to fulfil our contractual and other legal duties, we may need to share your data with certain organisations.
These organisations include the college you have applied to or have been accepted to, your school, college, and/or training organisation, referees, external services offering Institute-sponsored services including student surveys, governmental departments or agencies responsible for funding and student fellowships, sponsors or benefactors of financial support, examination boards and awarding bodies, testing services, such as National Testing Agency (NTA), and third parties including your former employer(s) or educational establishment(s). Each of these organisations are only given the minimum amount of data necessary to fulfil their purpose and they are not allowed to use your data for their own purposes. Furthermore, all third-party service providers that process data on our behalf have taken appropriate security measures to protect your data in line with our policies. They are only permitted to process your data for specific purposes and in accordance with our instructions.
